Order Fulfillment Steps
This option is best suited for 10 or more delivery orders. You can use delivery data that’s downloadable from your system or any spreadsheet template containing your order information.
1) Creating a CSV File
You can create a new CSV template from scratch, or you can modify any existing spreadsheet that you are using to contain the following required fields:
- First Name
- Last Name
- Contact Number
- Address 1
- Postal Code
- Parcel Size (Small by Default)
- COD (if applicable)
2) How To Fill In The CSV File
The details of the fields to be included in your CSV file are as follows.
Upon completion, save the file in *.CSV (Comma delimited) format.
3) Selecting Bulk Upload
Go to Deliveries > Create Orders > Bulk Upload. Select the corresponding delivery type.
Select Pickup Time-slot. Select your reserved date and click “Done” to confirm. Otherwise, follow steps 3.1 to 3.3.

3.2) Select Pickup Time-Slot
3.3) Indicate Pickup Details & Estimated Volume for us to send a suitable vehicle.
4) Uploading The CSV File
This step allows you to tell our system how it should interpret your CSV files from that particular Sales Platform.
Our system will save your requirements in Template formats which can be retrieved easily in the future. You no longer have to go through the hassle of manually converting the format every time you upload a CSV.
5) Mapping your CSV Columns to the Ninja System
You can type an optional prefix for each template, it will be included in your Tracking ID after your shipper prefix.
6) Does your CSV have more than 1 row per order?
If your CSV file consists of multiple rows with the same order number, check the Consolidates option.
Only a single Tracking ID (Waybill) will be created under this order number, as we assume all items for the same order number will be packed together.
CSV file from most platforms require this option to be checked (e.g. Shopify, Rakuten).
7) Setting Instructions
You can use the Instruction field, to add specific instructions (e.g. "Leave with the receptionist/security guard at the lobby").
Please note that specific instructions will be carried out on a best effort basis.

8) Saving Templates for Future Uploads
Click on Save Template
Once you click on “Save Template”, the template will be saved for the subsequent uploads in the future. Your CSV columns will be auto-mapped to Ninja Van columns according to previously saved format.
Hence select the template carefully based on your CSV format. Columns will only need to be mapped once when a new template is created.
Once you click Save Template, you will be prompted to Enter A Template Name.
9) Checking for mistakes in CSV file
Correct any postcode mistakes by checking the address on Google Maps. Click on Validate Orders after keying in the new postcode.
As the header row is not a delivery order, Click On ‘X’ to exclude this row.
10) Ninja Waybill
The Special Comments column will contain what is inputted under the "Instruction" field.
11) Confirming Your Orders
A Bulk Upload Preview is shown and orders will only be created if the bulk upload is Confirmed.
